Activity Codes

 

Purpose

The Activities setup allows timesheet activities to be created, edited and deleted. The activity is an optional column on the timesheet (you can choose to make it mandatory) and is a generic list of pre-coded activities that the user may select from when entering their timesheet.

Whereas projects generally indicate the client and/or work package the user is working on, an activity defines the type of work being carried out.

Activity types allow you to control which activities may be booked to which projects. An activity may be allocated to one or more activity types. By allocating an activity type to a project, the list of activities available to book against the project is limited to the activities linked to that activity type.  

Activities are linked to a service, so the unique identifier for an activity is service + activity. This allows different services to contain different activities rather than just using one generic list.

Operation

To create a new Activity, click the New button.

To edit Activity Types, click the Activity Types button.

To edit or delete Activity details, click the edit options on the in-line menu for the row you wish to edit.

Available for use

Check if the activity is available for user to use. Un-check to disable the activity without deleting it.

Force timesheet notes

Check to force the user to complete the notes field on the timesheet when using this activity

Percentage factor

The percentage factor applies to the hourly charge rate for time booked to this activity. The default is 100% - ie. The full charge out rate.

Set this to zero if you want the activity to be non-chargeable

Set this to a different value if you want time against this activity to be charged at a different hourly rate to normal.

Activity Types

This contains a list of activity type. Activity types which are checked will have the activities linked to them. Activity types which are un-checked means the activity cannot be used on projects  associated with the activity type.

 

Activity Types

Activity Types can be used to restrict the activities which may be booked against a project.

By linking activities to activity types and then allocating an activity type to a project, the activities available to the project are limited to the activities associated with the allocated activity type.

 To create a new activity type, click the New button.

 To edit or delete a activity type, select the record from the list and select the Edit or Delete option from the in-line menu.
