Testing access rights

 

Purpose

Generally speaking, once your system has been set up by Equisys, there is seldom any need to change access right. However, there are times when either an individual user, or a subset of users, require something just a little bit different.

Access rights are a complex area of the software and changing them can have adverse effects to your users. There are many to choose from and changes could open up features to staff who should have access to them, or remove features from staff who previously had access to them.

 

This article explains how you can set up new access rights, and test them, before issuing them to your users.

 

It is aimed at Timemaster System Administrators using the Windows application and assumes you have a reasonable understanding of how access rights work.

Creating a new 'test' user as follows;-

Note NOTE: Timemaster users are counted against staff record not login users records. So, creating a TEST user does not count towards your user count.

 

If you haven't already got a TEST user in your system, you can create one with the following details;-

User Name

TEST

Full Name

Test user for testing access rights - this, in effect, is a description of the user.

Staff ID

This is important as it needs to match the staff member (or one of them) that you're wanting to apply the new access right changes.

Password

Something secure that you can remember.

 

If you already have a TEST user set up for testing access rights, you just need to set the Staff ID so that it matches the staff member (or one of them) that you're wanting to apply the new access right changes to.

 

Save the TEST user record.

 

Tailoring the TEST user to match the current user record

This section outlines how you can now complete the TEST user settings by matching them against the staff member's actual user.

 

1.Navigate to the Staff listing grid

2.Right click the staff member you're wanting to test against and select Edit Login

3.The Login Users window will now be shown - filtered down to the staff member's actual login record and, the TEST user record.

4.Make changes to the TEST user to match the actual login record - you can do this by stepping between the actual login and the TEST user record using the record navigation buttons across the top of the Edit Login window

5.Save the TEST user record when you're happy they all match

 

You can now log into Timemaster as the TEST user and see all the functions the actual user has assigned to them.

Note NOTE: Don't make any changes to the data using the TEST user as all data is live and relates to the staff member the TEST user is linked to!

 

Making changes to the access rights

Now you have a TEST user setup that matches the existing setup of a user you want to make access right changes to, should now create a new Login Group and call it TEST

If a TEST login group already exists, we recommend that you delete it and create a new one as the old one will have access rights already assigned to it.

 

1.Assign the TEST login group to the TEST user

2.Add additional access rights to the TEST login group1 and save it once you're happy all changes have been made

3.You can now test the impact of the changes you've made by logging into Timemaster with the TEST user

4.You can continue to 'tweak' the access right of the TEST login group and test the impact they have by logging in as the TEST user again and again until you're happy with the changes

5.You can then create a copy of the TEST login group and give it a more suitable name

6.Remove the TEST login group from the TEST user

7.Assign the new login group to the staff member(s) - they will notice the change to their access rights when the next log into Timemaster

8.Finally, delete the TEST login group
