Timecharge Rate Tables List

 

Purpose

This topic explains how to create new 'custom' rate tables. Custom Rate Tables are used where you want to charge your staff out at a specific rate other than their standard rate.

This make you charge out rates very flexible as each staff member can have multiple charge out rates and the software applies these rates when entering time on their timesheets.

These are simply codes. Once created, staff hourly rates can be assigned (How?) to them and they can be assigned to projects / tasks (How?).

 

Additional Information

You can assign a custom rate table to a project or individual task. These provides a mechanism for these projects / tasks to be time charged at a different rate other than the standard rate (default). Custom rate tables carry the same flexibility as the .STD rates; they can be assigned an effective date and an overtime rate (if applicable)

From the example below you can see that the project has three tasks, each of which have a different rate table assigned to them.

The example below also shows how two staff members have different resource and recharge costs assigned to three rate tables. The .STD table is the standard (default) rate table. Charge Rate 1 and Charge Rate 2 are both custom rate tables which have been added.

You will notice that the staff member's Resource Rate does not change for each rate table. This is because the cost of the staff member is always the same amount and is not dependent on the recharge (charge out) rate. However, this can be over-ridden - refer to the following section 'Assigning different Resource Rates' for more details.

 

TIPTIP: It is important to remember that when you add a new custom rate table you must also assign the new rates to the staff members. If you fail to do this and the staff member books time to the project/task, the system will create 'costing rate' timesheet errors as the system will not be able to find a staff rate to cross-reference.

Assigning different resource rates

Generally speaking, staff are employed and they are assigned a resource rate ( How?). However, if you are using a contractor to fulfil your work commitments you may want to record their staff resource rate as the rate they are charging you, and the recharge rate as the rate you are charging your client.

This can be achieved by ticking the Windows Application > Setups > Control Codes > Control Parameters > Staff Details tab page > Enable Custom Resource Rates. With this option ticked you can assign a different resource rate to each of the custom rates.
