TOIL Bank Requests

Note NOTE: This is only applicable if you have the Flexi-Time functionality registered.

 

Purpose

Time off in Lieu (TOIL) is available to cover situations where excess hours worked are allowed to be taken as time off at a later date (i.e. time off in lieu of the extra hours worked).

 

Additional Information

If a lot of extra time is worked then it is possible that the maximum carry forward of flexi credit would be exceeded. Also there may be times of extreme work pressure when the flexi time just cannot be taken. In these cases you can request to take the time off in lieu.

TOIL is banked when there are excess hours available. To take time off, you would then request an absence to be taken out of your TOIL bank.

TipTIP: Your TOIL bank balance is shown on your Flexi Timecard.

 

Operation

To make a TOIL bank request

1.Click the TOIL button on your Flexi Timecard - the TOIL Requests page will now be displayed showing all the TOIL bank requests after the date specified.

2.Click the New TOIL button - the Create TOIL Request page will now be displayed.

3.The following Data Entry section explains your input options.

4.When you have entered the required data click the Save button.

 

The TOIL bank request now has to be Approved before you can spend it (create an Absence Requests using the TOIL absence code).

 

Data Entry

Description

Request Date

The date of the request.

This date should be the date of the late working as it may be needed to justify the TOIL request. If the company allows TOIL to be banked at the end of the period, then the date should be the end of the period.

Credit Available To End Of …

The available flexi balance to the end of;-

 The period        - If the request date falls in a previous period

 Yesterday        - If the request date is in the current period but prior to the current date

 Today                - If the request date is the current date (or after).

Balance Over Period Carry Forward

This gives the user an indication of how much flexi time will be lost (clipped) at the end of the period.  

This is calculated as follows;-

Credit Available To End Of Today minus Max Flexi Carry Forward Credit (from the staff member’s Ruleset) = Balance Over Period Carry Forward.

Banked TOIL Period Limit

This figure is taken from the staff member’s Ruleset (Max. TOIL that can be banked in a period).

It is used to cap the amount of TOIL that can be banked in a period.

TOIL Already Banked In Period

This figure shows how much TOIL has already been banked in the period. This is any TOIL that has been requested and/or approved.

Remaining Balance To Bank

This is the total remaining time that can be banked in the period.

It is calculated as follows;-

Banked TOIL Period Limit minus TOIL Already Banked In Period = Remaining Balance To Bank.

TOIL Hours

The number of TOIL hours the user wished to bank as part of this request.

TOIL Reason

A reason should be entered to justify the TOIL request.

Failing to enter a reason may delay the approval of the request.

 

Note NOTE: If you have the Web Reporting functionality installed you can run the TOIL Transactions Report which will show all the TOIL transactions for a staff member during a specified time frame.
