My Weekly Timesheet

 

Purpose

This shows the staff member's weekly timesheet grid which details what time has been booked against which projects and tasks on each day.

Note NOTE: This grid is customised (add/remove columns) via your Timesheet Options.

Columns widths can be changed to suit and are saved when the timesheet is saved.

We recommend that you manage your Timesheet so that it does not contain more lines that are necessary. The more lines you have, the more difficult it is to see what time you have booked to which projects and the slower the timesheet will take to display.

 

When entering your Weekly Timesheet you are presented with your current week's timesheet.

If your timesheet is blank and you have the Timesheet Option Fill new week with previous week ticked, you will be asked if you would like to fill the timesheet with data from the previous week. If you click OK to this message all the timesheet lines from the previous week will be copied into this active week. No hours or timesheet notes are copied across as these are specific to the time you recorded in the previous week.

If you want to copy timesheet lines from a different week you can do so by clicking the Copy button at the top left of the page. For more details on copying timesheet lines click here.

 

If you have not completed your previous weeks timesheet you can navigate to this by clicking the "<" (previous) button at the side of the timesheet date which can be located at the top, right of the timesheet grid. Clicking the ">" (next) button navigates you forwards. If you need to review a timesheet from several weeks ago you can change the date by at the top, right side of the grid by clicking the downward pointing arrow to the right of the date.

 

Once you have timesheet lines on your timesheet you can enter time directly into the grid.

 

If a project/task is not already present on your Timesheet you can add a new line by clicking the New Line button. You can also create a new line from an existing timesheet line via the in-line grid menu button. Both these options load the New Timesheet Line page - the later automatically populates the New Timesheet Line page with the project/task details.

 

You can also record Expenses from timesheet entries and Delete timesheet lines via the the in-line grid menu button. This method of creating expenses automatically populates the new expense with the date, project and task taken from the timesheet line and is a good way or recording expenses from the associated project time booking.

 

You may print the timesheet so that it can be signed for approval via the Print button but this should not be necessary if your line manager is also using Timemaster.

 

The Email option allows you to send a quick email to one of your line managers who can be selected from the drop-down list and provides a useful feature if you have a query regarding anything relating to your Timesheet i.e. a query regarding which project/task/activity to record an element of work against.

 

By default, the timesheet grid is sorted by Line Number (the order you have created the timesheet lines in). However, the Sort By option provides you with the ability to change this sequence.

 

A search facility is provided to allow you to quickly find a project/task which already exists on your Timesheet and can be used to reduce the need to create a duplicate entry. To use this enter the text you want to search for in the Search box and click the Find button.

 

You can change the status of your timesheet by selecting one of the status options. A new timesheet has the status of In-Progress and will remain at this status until you change it to Complete. By completing the timesheet you are, in effect, signing it as confirmation that the bookings are correct. If you change the timesheet status by mistake you can revert it back to In-Progress but this option is not available once the timesheet has progressed to either Approved or Finalised statuses. These stages will also lock the timesheet so that no alterations can be made.

 

Timesheet lines can carry their own individual statuses so it is possible that your overall timesheet has a different status to one or more of the timesheet's lines. In this instance you will not be able to edit the timesheet line even though you have reverted the timesheet back to In-Progress.

 

You won't also be able to edit the timesheet cell if the time you have entered is defined as Overtime. To edit overtime entries you must drill down into the Edit Timesheet Lines page.

 

Staff can be configured so that their timesheet does not require approving. In this instance the Approved status is not used.

Resourcing Functionality only

If you are using the Resourcing functionality your timesheet will automatically be populated with the projects you are resourced to work on it the given week. You can still add additional projects but you cannot delete the your resourced projects.

If you have the access right Resourcing Functions > Staff Resource Availability assigned you will notice a Resource Plan button shown to the top left of the grid. Clicking this navigates you to a separate tab page showing your resource allocations for the given week.
